Deposit Operations Manager

Job Summary:

The Deposit Operations Manager is responsible for supervising the deposit operations department, which includes two full time employees and one part-time employee.

The Manager is responsible for overseeing the daily operations of Treasury Management Services (RDC and ACH Origination), wires, overdrafts, cash letter adjustments, ACH, new account edit, deposit document exception tracking, bank supply purchasing, mail room, cardbase balancing, deposit general ledger balancing, IRAs, PRAs, federal withholding on deposit accounts, international services, mobile deposits, Bill Pay, and deposit compliance including Escheatment, Regulation CC (Holds), Regulation E (Disputes), Dormant Accounts, and garnishments/levy and subpoena requests.

Personnel and Department Management:

Supervision of Deposit Operations personnel will include scheduling, year-end evaluations, and managing personnel issues including disciplinary actions.

The Manager will be responsible for overseeing all daily department duties by assigning the various daily routines to deposit personnel and ensuring all work is completed in a timely manner.

Focus will be given to maintaining a high-level of customer service to both internal and external customers including answering the phone in a timely manner, ensuring all personnel are trained on all job duties within the department with duties being rotated routinely to ensure knowledge is retained, ensuring policies and procedures are being followed, and keeping training manuals current. The Manager will seek opportunities to train personnel on any applications or software where skill improvement is needed especially in Microsoft Excel and Word both of which are used in daily routines and in the Bank’s online banking applications, so personnel are able to assist customers more effectively.

Personnel will be mentored to create a professional environment while encouraging collaborative learning with consideration given to the shared departmental workspace.

The Manager will be expected to review processes on a continual basis to ensure work is being performed in the most efficient manner while providing excellent customer service and to make corrective recommendations to Bank management when improvements are needed. Innovative uses of technology to improve operational efficiencies are encouraged and will be considered based on risk tolerance.

The Manager will be responsible for opening tickets when needed with FIS, the Bank’s core processor, to get assistance with resolving customer issues and general department questions or issues.

Cross Department Collaboration:

The Deposit Operations Manager will possess the ability to work in a team environment and be open to discussing and listening to various ideas and solutions respectively, while fostering a learning environment to build employees’ depth of knowledge.

  • Member of the Compliance committee and Information Technology Steering Committee to ensure the bank is compliant with all federal, state, and industry standards and that any regulatory concerns or risks are addressed through committee action.
  • Work closely with Retail Banking Manager to foster effective communication of policies and procedures between tellers, customer service, and deposit operations to achieve consistency in account opening and maintenance, adherence to deposit regulations, processing of deposit transactions, and assisting customers with deposit services.
  • Assist SVP-Finance with new deposit product, service, or software implementations both customer facing and internal facing and acting as project lead when needed.
  • Work closely with Bank management to make sure all electronic banking channels, including consumer online banking, business online banking, and mobile banking, are customer friendly, operating smoothly, and are technology current.
  • Interact with internal and external auditors during audits and reviews of the deposit area including gathering documents for the audits and addressing any audit findings or recommendations which could include bank control changes, form changes, or policy/procedure changes.

Minimum Qualifications:

  • Ability to communicate professionally both written and verbal
  • Analytical skills with the ability to identify problems, find solutions, and implement corrective measures
  • Management experience with the ability to lead, mentor, train, and handle disciplinary matters across all generations and personality types
  • Deposit Operations or Banking experience preferred
  • Self-motivator with the ability to work autonomously and consistently to meet deadlines
  • Organized and detail-oriented
  • Proficiency in Microsoft Office Suite

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
